A custom packaging project rarely begins with a complete technical specification. It usually begins with a product, a brand objective, a sales channel, a launch quantity, and several open questions.
“Rigid gift box, premium finish, 5,000 pieces” describes an intention, but it does not yet define the complete packaging system, insert, material, performance requirements, sample path, pack-out, or delivery scope.
A useful custom packaging RFQ turns those commercial requirements into a project brief that a packaging solutions provider can review and develop into a manufacturable specification. Better inputs reduce quotation ambiguity and unnecessary sample revisions, but you do not need to know every technical answer before contacting a supplier.

Before requesting a custom packaging quote, prepare the product dimensions and weight, vulnerable areas, packaging components, branding requirements, quantity by SKU, target market, sales and distribution channels, validation needs, timeline, destination, and any regulatory or sustainability requirements.

What Information Should a Custom Packaging RFQ Include?
The easiest way to prepare an RFQ is to organize the information into six groups rather than treating packaging as a single box specification.

Start With the Product, Not the Box Style
The product creates the packaging requirements. For a fitted insert or protective structure, provide accurate maximum dimensions, weight, orientation, and any areas that should not carry load or experience contact.
A nominal bottle volume, screen size, or product photograph is usually not enough for structural development. For tight-fit packaging, provide at least one controlled source of geometry:
- A current production part or filled primary package.
- A controlled 3D CAD file.
- A dimensioned drawing with tolerances.
- For several SKUs sharing one package, the minimum and maximum product geometry.
If the product is still changing, clearly label the dimensions as provisional and identify the expected design-freeze date. Developing tooling around an unapproved product revision is a common source of unnecessary rework.
Define the Complete Packaging System
“Box” can mean very different things. A presentation box, molded-fiber insert, paperboard tray, e-commerce shipper, master carton, printed card, and gift bag may all belong to the same packaging project.
List every component that should be included in the quotation. Depending on the project, the complete system may include:
- Product-contact wrap, pouch, or protective bag.
- Insert, tray, platform, divider, or cushion.
- Retail or presentation box.
- Printed card, sleeve, label, or instruction material.
- Gift bag or handle.
- Unit shipping carton.
- Master carton, divider, palletization, and export protection.
This is especially important when a premium retail package will also move through e-commerce or international distribution. A presentation box that looks excellent on a shelf is not automatically a parcel-ready shipping container.

Specify Materials by Requirement, Not Just by Name
If a material is mandatory, state the exact requirement and the evidence you expect. This could include board grade, thickness, fiber source, recycled-content basis, certified sourcing, food-contact documentation, or restricted-substance declarations.
If the real requirement is performance rather than a particular material, describe the intended outcome instead.
Example:
Paper-based insert with a natural white appearance, designed to retain a filled 420 g glass bottle through the agreed distribution test. Supplier to recommend the structure and manufacturing route, identify additives or coatings, and state the intended end-of-life route.
This gives the packaging supplier room to recommend a workable solution without quietly turning a material preference into an unsupported environmental or compliance claim.

Define the Sample and Approval Path Before Production
Different samples answer different questions. The important point is not the sample name alone, but what process, tooling, material, print, and finish the sample actually represents.
Sample terminology varies between suppliers. A “prototype,” “white sample,” “tool trial,” or “pre-production sample” may not mean exactly the same thing from one supplier to another, so the RFQ should define what each approval stage is intended to validate.

For each stage, ask the supplier to identify the process, revision number, sample quantity, expected timing, cost, and the approval decision required before the project moves forward.
Turn “Good Quality” Into Measurable Acceptance Requirements
“Premium quality” or “high quality” is not an inspection specification. Before production, identify the features that actually determine whether the packaging works.
- Critical-to-fit dimensions and measurement method.
- Approved product and packaging revisions.
- Color or finish reference.
- Visual defect criteria where relevant.
- Functional checks such as closure, retention, removal, assembly, nesting, or barcode scanning.
- Distribution or product-specific validation requirements.
- Required material declarations, certificates, or laboratory reports.
- Pre-shipment inspection scope and report expectations.
Avoid copying an arbitrary AQL, drop height, or test severity from an unrelated product. The quality and validation plan should reflect the actual product risk, sales channel, distribution route, customer requirements, and applicable standards.
What Should a Packaging Solution Proposal Include?
A useful quotation should show more than a unit price. It should explain how the proposed packaging system connects product requirements, manufacturing, validation, pack-out, and commercial scope.

Assumptions and exceptions are particularly important. Two quotes can appear similar while one excludes a coating, insert, sample stage, testing requirement, export carton, or logistics responsibility that the other includes.
If an Incoterm is used, specify the rule and named place clearly, and confirm which logistics costs are included or excluded in the quotation.

When Should You Ask the Packaging Supplier for Recommendations?
You do not need to arrive with a finished engineering specification. If the product and business requirements are clear but the packaging solution is still open, a packaging solutions provider should help identify missing information and explain the trade-offs between viable structures, materials, and processes.
Ask for recommendations when:
- Several insert or material options could perform the same basic function.
- The product needs a new protective structure or closure.
- Sustainability goals conflict with moisture, barrier, finish, or protection requirements.
- The first-order quantity makes the original concept commercially difficult.
- The distribution route or validation requirement is still being defined.
A useful recommendation should identify its assumptions, trade-offs, evidence requirements, and likely impact on price or timing. “Eco-friendly material recommended” is not enough to define an engineering decision.
FAQ
Can I request a custom packaging quote before the design is final?
Yes. Clearly identify what is fixed, preferred, provisional, and unknown. An early quotation may remain budgetary until the product, structure, materials, artwork, and validation scope are sufficiently defined.
Do I need to choose the packaging material before requesting a quote?
Not always. If performance matters more than a specific material, describe the required protection, appearance, end-of-life objective, and evidence. The packaging supplier can then recommend suitable structural and material routes.
Why can MOQ differ between packaging options?
MOQ can be influenced by tooling, equipment, material purchase units, finishing processes, SKU fragmentation, setup requirements, and pack-out. Confirm whether the MOQ applies to the total project or to each size, color, artwork, or SKU.
What if I do not know all the technical requirements?
That is normal. Provide the product and commercial information you already have.
